Privacy Policy for Wingflow

Thank you for using Wingflow ("we," "us," or "our"). This Privacy Policy explains how we collect, use and protect information when you use https://wingflow.ai and the Wingflow service (the "Service").

By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

1. Who we are

Wingflow is a LinkedIn outreach workspace. Find prospects, build personal LinkedIn outreach sequences, and manage every reply from one workspace.

2. Information we collect

2.1 Information you give us

We collect the following, as needed to run your account:

• name
• email address
• payment details (processed by a third-party payment provider; we do not store full card numbers)
• LinkedIn account connection details
• prospect and contact information you import (name, role, company, location, profile URL)
• messages, sequences and campaign activity
• account settings such as timezone, working hours and sending limits

You may also sign in with a magic link sent to your email, or with a third-party sign-in provider. If you use a third-party sign-in, we receive the basic profile information that provider shares with us (typically your name and email).

2.2 Information from LinkedIn, through you

When you connect a LinkedIn account, we process the data needed to run the campaigns you set up: your connected account, the prospects you import, messages you write, replies you receive, and the activity history of those campaigns. We only use this to provide the Service you asked for.

2.3 Cookies and similar technologies

We use session and authentication cookies, and similar technologies needed to keep you signed in and to understand how the site is used. We do not use this to sell advertising.

Analytics: we use a third-party analytics provider, hosted in the European Union, to understand how people find and use https://wingflow.ai and the Service (for example pages viewed, the website that referred you and whether you signed up). If you are in the United Kingdom, the European Economic Area or Switzerland, we ask for your consent the first time you visit. Until you accept, and if you decline, analytics runs without setting cookies or similar identifiers on your device; we only store your choice. Elsewhere, analytics cookies are on by default, unless your browser sends a Global Privacy Control signal, which we treat as an opt-out. With analytics cookies on, we also set a first-party cookie (for up to 90 days) that remembers the page you first arrived on and the site or campaign that referred you. We also set a short-lived cookie recording which of these rules applies to your region. You can change your choice at any time with "Cookie settings" at the bottom of our website.

We also use a second, privacy-friendly analytics service that counts visits without cookies or any identifier stored on your device. It uses your IP address and browser details only to count unique daily visits and approximate location, and does not store your IP address.

Signup source: when you create an account, we store that first-visit information with your account, and we may ask how you heard about us. Answering is optional.

2.4 AI assistant connectors (ChatGPT, Claude)

You can connect Wingflow to an AI assistant such as ChatGPT or Claude. Connecting is optional and only happens when you sign in and click "Allow". Once connected, the assistant can read your own Wingflow campaign data when you ask it to: campaign names and status, sequence steps, contact counts by stage, and statistics such as invitations sent, acceptance rate and reply rate. The connector is read-only. It cannot change, launch or pause campaigns, cannot send anything on LinkedIn, and never shares your LinkedIn login details or the names of your contacts.

We keep a record of which assistant you connected and when, and store the access tokens we issue to it in hashed form. Tokens expire after an hour and are refreshed for up to 30 days unless you disconnect. We do not receive or store your conversations with the assistant. What the assistant does with the data it reads is covered by that assistant's own privacy policy. You can disconnect at any time from the assistant's settings, or email support@wingflow.ai and we will revoke access.

3. How we use your information

We use your information to:

• create and manage your account
• process payments and subscriptions
• run the outreach sequences you configure
• show you replies and contact history in one inbox
• send transactional email (sign-in links, optional notifications, support)
• understand how people find and use the Service, and improve it
• keep the Service secure and working
• comply with the law

We do not sell your personal information, and we do not use your LinkedIn contacts to prospect for our own sales.

4. Who we share information with

We share information with third parties only as needed to run the Service. We do not sell, trade or rent your personal information.

If you connect an AI assistant (see 2.4), the campaign data you ask about is sent to that assistant's provider (for example OpenAI or Anthropic) to answer your request.

We may also disclose information if the law requires it, or to protect Wingflow, our users or others.

5. How long we keep it

We keep your account data for as long as your account is open. If you close your account or ask us to delete your data, we remove it from our systems within a reasonable time, except where we must keep a record (for example, billing records) or where a backup has not yet rotated.

6. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal information, or to object to or restrict certain processing. Email support@wingflow.ai and we will help.

You can also disconnect a LinkedIn account, edit or delete contacts, and close your Wingflow account from the product.

7. Children's privacy

Wingflow is a business tool. It is not intended for anyone under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact support@wingflow.ai and we will delete it.

8. International transfers

We and our processors may store and process information in the United Kingdom, the European Union, the United States and other countries. Where we transfer personal data out of the UK or EEA, we use appropriate safeguards (such as standard contractual clauses) where required.

9. Updates

We may update this Privacy Policy from time to time. The new version will be posted on this page with a new "Last updated" date. If a change is material, we will also email the address on your account.
